The short answer

Include the recipient, deadline, suggested length, and recording link in one message. Start with a template, then make it sound like an invitation from you.

01

Replace these four details before sending

  • Replace [name] with the recipient’s name.
  • Use an exact date, time, and time zone for the deadline.
  • Insert the recording link, not the management or listening link.
  • Check that the recipient is not included in the invitation thread.

02

How real organizers invited people

An organizer preparing a surprise for a preschool friend moving away contacted families individually because the recipient’s family was also in their usual LINE group. Before posting in a shared chat, check whether the recipient or their family is in it.

For a company’s tenth-anniversary surprise, another organizer invited people through a Microsoft Teams group chat and added screenshots to explain how to take part. If people may be unsure what to do with the link, show them where to tap first or include a finished example.

Farewell · a gentle reminder

Farewell · a gentle reminder

We’re wrapping up [name]’s farewell Voice Bouquet on [date, time, time zone]. If you’d like to add a voice message, here is the link: [recording link] Thank you to everyone who has already sent one. No pressure if the timing does not work for you.

07

Make the request easier before sending more reminders

A smaller request is often more useful than another “Have you done it yet?” Explain that one sentence is enough. Leave room for people to decline if recording does not work for them.

If you send example messages, ask contributors to choose a real memory of their own. A group of different voices does not need an identical script.

08

Let LINE send recording reminders

If your contributors use LINE, connect their group to Voice Bouquet and the bot can send recording reminders to the group. This reduces the need for the organizer to send every reminder themselves.

Start from your bouquet’s management page. Follow the instructions to invite the bot to the contributors’ LINE group, then send the connection code in that group. For a surprise, use a group that does not include the recipient.
